PARTIAL PLANNING & COORDINATION

This service is designed for couples who have started their wedding planning and have booked all the needed suppliers in place, but would like to have a professional help and guidance in planning and finalizing the rest of the details for their wedding day.

Eventcetera will take over and join you in the planning process 6 months before the event During this time, you will start working on the major factors of the planning like acquiring legal documents, marriage license,  creating wedding day itinerary, discussing program flow with your suppliers, etc. Along the way, we strive to educate you about your options and our process so you can make the best decisions for your event and feel confident and excited about the day.

STANDARD SCOPE OF SERVICES:

 

UPON SIGNING OF CONTRACT: 

  •     Initial consultation upon signing of contract to get to know you as a couple, to find out information about your wedding         plans and to know how you would want your wedding to flow

  •     Unlimited consultation via phone or email upon signing of contract for wedding related concerns

  •     Provide an Online Wedding Workbook containing wedding timelines and checklists

PRE-WEDDING PLANNING: 6 MONTHS BEFORE THE WEDDING

  •     Client is entitled to 12 in-person meetings upon turnover (minimum of 2 meetings per month)

  •     Create wedding day timeline from wedding preparation to reception.    

  •     Creation of comprehensive reception program flow

Supplier Management:

  •     Review supplier contracts and confirm all arrangements for the wedding day

  •     Conduct a pre-production meeting with suppliers 1 month before the event to run through all wedding plans

  •     Recommend pending minor suppliers - lights & sounds system, band, giveaways, bridal car, etc.  

  •     Conduct venue ocular 

  •     Coordination of roles and responsibilities of bridal party

  •     Program planning & conceptualization

  •     Recommend pre-screened suppliers that would complement budget & style

  •     Assist in selection of music for the wedding ceremony and reception program

  •     Recommend and source gifts for the Principal Sponsors and entourage and giveaways to guests

  •     Coordination of wedding day rehearsal, if required by the church (maximum of 3 hours only)

ON THE DAY OF WEDDING:

  • The event will be headed by 6 Professional Event Coordinators: 
    • 1 Event Head, 1 Reception Manager, 1 Ceremony Manager, 1 Bride Manager, 1 Groom Manager, 1 Event Associate​
    • Fully equipped with communication radios
    • Dressed professionally
  • Overseeing and supervising wedding preparation at the client’s chosen venue 5 hours before ceremony

  • Coordination and assistance in arranging your ceremony - processional, recessional, ceremony flow

  • Supervision of reception set-up and liaising with venue manager, head waiter, musicians/DJ, Host/Emcee, sounds system provider, cake baker and other suppliers

  • On site supervision of all wedding suppliers at ceremony and reception to ensure that they are following the venue  guidelines, confirmed timeline and that they acting responsibly and accordingly

  • Directing  the wedding party, family, guests, bride & groom, suppliers during ceremony & reception (e.g. when to leave the wedding hotel prep, directing processional and recessional line-up, when they will be giving toasts/speeches, grand entrance parade, etc.) 

  • Assistance throughout the day to ensure the program runs smoothly and all your plans are carried out

  • Manning of registration area, receiving and registering gifts 

  • Distribute giveaways to guests if applicable

  • Help in managing payments to suppliers

  • Turnover of all wedding accessories, contracts, receipts etc., after the reception

  • Wedding Day Emergency Kit
